Recruiting & Onboarding

Commitment 4:

Holistic Onboarding and Early Integration

Employers commit to onboarding practices that support well-being, workplace integration, and connection during the probation period.

Employer Actions

Organizations should implement onboarding practices that support employee well-being, workplace integration, and connection during the probation period. To fulfill this commitment, organizations are encouraged to:

  • Provide pre-onboarding information before an employee’s first day to support preparedness and reduce stress (Example: location, parking, office tour, and schedule)

  • Develop written onboarding plans with clear timelines and expectations during the probation period (Example: Day 1, Week 1, etc.)

  • Communicate role expectations, performance goals, workplace norms, and health and safety information

  • Introduce new employees to colleagues, teams, and departments

  • Offer opportunities for observation, shadowing, and mentorship

  • Assign a peer contact or mentor during the probation period

  • Schedule regular check‑ins during the probation period to gather feedback, address concerns, and support well‑being

  • Ensure onboarding materials and processes are accessible and inclusive

  • Gather employee feedback on the onboarding and integration experience to identify improvements and barriers

Evidence Requirements

To complete this commitment, organizations are asked to:

  • Review or develop onboarding practices that support inclusion, accessibility, and employee integration

  • Implement at least two onboarding or early integration practices, such as:

  • providing pre-onboarding information before an employee’s first day

  • assigning a workplace contact, mentor, or buddy where appropriate

  • scheduling regular check-ins during onboarding or probation periods

  • sharing information about workplace policies, supports, or inclusion initiatives

  • creating opportunities for workplace connection, observation, shadowing, or mentorship

  • ensuring onboarding materials and processes are accessible and inclusive

  • Submit a short reflection describing actions taken and future opportunities for improvement

Evidence may include:

  • Onboarding schedules or checklists

  • Orientation materials or onboarding guides

  • Accessibility or accommodation information shared during onboarding

  • Internal communication or welcome materials

  • Reflection summary

Impact

Inclusive onboarding helps new employees feel welcomed, prepared, and connected in their new workplace. Clear communication, regular support, and accessible onboarding processes can improve confidence, engagement, and retention. These practices help employees feel supported from the start.
